How to Choose an Exhibition Booth Builder in China: A Guide for US Exhibitors

Exhibition booth builder - Panda Expo China

If you’re a US company exhibiting in China, hire a local exhibition booth builder instead of shipping a booth from home. A local builder designs, fabricates and installs your booth, and handles the venue’s approval rules for you. It usually costs less, takes less time, and carries far less risk than ocean freight. Here’s how to pick the right one.

Why US Companies Hire a Local Exhibition Booth Builder Instead of Shipping

Your US booth was built for US halls. Getting it to Shanghai means weeks at sea, customs paperwork, and handling charges at both ends. Then you still need a local crew to put it up.

Ship from the US Build locally in China
Lead time Weeks of ocean freight plus customs Built close to the venue
Cost Freight, duties, storage, return shipping Production and install only
Risk Damage or delays in transit Problems fixed at the workshop
On-site help You hire a separate crew Same team builds and installs

What to Check Before You Sign

Own workshop and exhibition booth construction capacity

Ask whether the builder owns its workshop. Many don’t. They take the order and pass it to a subcontractor, which means less control over quality and deadlines. With in-house exhibition booth construction, you can ask for production photos and get straight answers.

Experience at your show and venue

Every venue has its own rules on height limits, electrical work and move-in times. A builder who’s worked your show before already knows them. Ask for photos of past builds at that exact event, whether it’s CIIE, bauma or SIAL.

Communication across time zones

Shanghai is 12 or 13 hours ahead of New York, depending on the season. You need one English-speaking project manager, not a shared inbox. Watch how fast they reply during the quote stage. That’s how it’ll be later.

How Exhibition Booth Design Works From 7,000 Miles Away

Distance sounds like the hard part. It isn’t, if the process is clear.

  1. You send a brief: booth size, show, goals, brand guidelines.
  2. The builder returns 3D concepts.
  3. You mark up changes and approve a final exhibition booth design.
  4. Production starts, with photo or video updates from the workshop.
  5. The team installs on site and hands over the booth before opening day.

You don’t need to fly out early. Most approvals happen over email and video calls.

Timeline and Budget: What to Plan For

Start early. Custom work takes time, and the organizer’s deadline for design submission comes sooner than most first-time exhibitors expect. A typical schedule:

When What happens
10–12 weeks out Brief sent, builder chosen
8–10 weeks out 3D design and revisions
4–6 weeks out Design approved, production begins
Show week Install and handover

Your cost depends mostly on booth size, custom versus modular build, AV and graphics. A proper quote lists design, production, transport, install, dismantling and venue fees separately. Got a single lump sum? Ask for the breakdown.

FAQs

Can I ship my existing US booth to China instead of building a new one?

You can, but it rarely pays off. Freight, duties and return shipping often cost more than a local build, and transit delays can leave you without a booth.

How far in advance should I book an exhibition booth builder in China?

About 10 to 12 weeks before the show is a safe window for a custom booth. Modular booths can be done faster.

Do builders in China handle venue approvals and on-site installation?

A full-service builder does both. Confirm it’s written into the quote, along with dismantling after the show.

Is a modular or custom booth better for a first show in China?

Modular costs less and suits a test run. Custom makes sense if the show is a major launch or you’re in a large space.

How do I review and approve a booth design from the US?

Through 3D renders sent by email, followed by a video call for changes. You sign off on the final version before production starts.
